Data Deletion Request

This page explains how users of Vikings Workforce can request deletion of personal data associated with the Vikings Workforce app and web portal. Because Vikings Workforce is used for workplace safety, compliance, fleet, asset, toolbox and audit records, some submitted business records may need to be retained even when a user account is disabled or profile information is removed.
How to request deletion
- Email [email protected].
- Use the subject line: Data deletion request.
- Include your name, login email address and the organisation you work for.
- State whether you want your user account disabled, your personal profile details removed, your notification token removed, or a copy/correction of your information.
What can be deleted
Where legally and operationally appropriate, we can delete or anonymise:
- User account and login profile details.
- App access records that are not needed for security or audit purposes.
- Personal contact details held for account administration.
- Device push notification tokens that are no longer needed.
- Duplicate or incorrect profile information where correction is appropriate.
What may be retained
Vikings Workforce is used for workplace safety, compliance, fleet and asset records. Some records may need to be retained for legal, audit, health and safety, insurance, contractual or operational reasons. This can include submitted forms, generated PDFs, signatures, toolbox talk attendance, vehicle records, asset records, assignment history, acceptance and return records, damage reports, inspection/calibration records, maintenance bookings, QR asset summaries, public asset identifiers, evidence photos, uploaded documents and GPS/address evidence where these form part of a business record.
If a retained record contains a user's name because they submitted, signed, accepted, returned, inspected or were assigned to something, that name may need to remain as part of the historical audit trail. Where possible and appropriate, we may anonymise or reduce personal information instead of deleting the whole business record.
Retention period
Retention periods depend on the record type and the organisation's compliance requirements. If a record must be retained, we will explain this in response to the deletion request where possible. Backups and logs may retain information for a limited period after it has been removed from the live service.
Response time
We aim to review deletion requests within 30 days. We may need to verify the requester's identity before making account or record changes.
